Add Strategic Action Item (Initiative) User Roles & Permission

1. About feature

The Strategic Action Item (Initiative) User Roles & Permission feature in VisionSync allows users to define the role on the strategic action item (initiative) level. These roles will be available while creating/editing the strategic action item. The roles defined here will allow or restrict users to perform certain functions in a strategic action item (initiative) based on the permission assigned.

2. Screen explanation

Once you have created a strategic framework, you can add/edit strategic action item (initiative) user roles against each strategic framework. Select the strategic framework for which you want to add/edit strategic action item (initiative) user roles and click on the "Settings" button from the dropdown menu.

The “Strategic Framework - Settings” window contains the following elements.

a. Tabs: This segregates the settings window into multiple categories like “Progress Measurements”, “Strategic Action item (Initiative) Status”, “Task Status”, “Progress Tracking” and “Strategic Action item (Initiative) User Roles”.

b. Strategic Action item (Initiative) User Roles Form: This form allows users to add user roles and their permissions for the strategic action item (Initiative) level of the strategic framework. These roles are available while creating/editing the strategic action item.

c. Default Roles Fields: These roles exist in a strategic framework by default. These roles can be edited or removed if required. By default, Responsible, Accountable, Collaborator, and Informed roles are defined.

d. Hint Text (Optional): This field can be used to provide users with contextual guidance, such as explanations of different roles involved in strategic action items.

For example, if the designated role is "responsible," hint text could be added to clarify the responsibilities associated with that role.

e. Color Code (Required): This option provides users with the ability to assign a specific color to each status field of their choice, providing visual differentiation and easy identification of different stages.

f. Add Role Button: This button allows users to add a new strategic action item (initiative) user role in a strategic framework.

3. How to perform this feature/functionality?

a. Log in to your VisionSync account using your credentials.

b. Click on the "Framework" option from the More dropdown in the Top-Navigation Bar.

c. Select the strategic framework for which you want to add/edit a strategic action item (initiative) user role and click on the "Settings" button from the dropdown menu.

d. On the "Strategic Frameworks - Settings" page, go to the “Strategic Action item (Initiative) User Roles” tab.

e. To add a new role value, click on the “Add Role” button enter the name for the role, add hint text, and select the permissions by checking the boxes in the permission group.

f. To edit the role, click on the “Edit” button against the role and make the required changes. The permissions can be changed with unchecking the boxes in the permission group.

g. You can also enable bulk editing mode by clicking “Edit All” and making the changes against all user roles in one go.

h. To remove any role, click on the “Remove” button against the role.

i. Click on the "Save" button to add the strategic action item (Initiative) User Roles to the strategic framework.

4. Expected Result

Once you have added/edited strategic action item (initiative) user roles to a strategic framework, you can view and update them on the "Settings" page for that strategic framework. These strategic action item (initiative) user roles will be available for strategic action item (initiative) while creating/editing them. These roles define what a user can do on a strategic action item based on the permission attached to the role.

5. Dependency or Restriction

a. The strategic framework settings add/edit option will only be visible to administrators and whosoever has permission to add/edit the strategic framework.

b. Users will not be able to remove the strategic action item (initiative) user role if it is associated with any strategic action item (initiative) of any strategic plan.
