Add/Update Progress

1. About feature

Tracking and updating progress against an actionable item (initiative) ensures that execution stays aligned with the strategic plan. The updated progress workflow in VisionSync allows users to record progress for each progress tracking period, capture sentiments, add comments, and update metric contribution levels directly from the Progress tab. This provides a complete and accurate picture of performance for every review period.

2. Screen explanation

The Progress tab inside the actionable item (initiative) modal contains the following elements:

a. Review Period List (with Accordions)

Displays all Review Periods configured for the actionable item. Each accordion expands to show the Progress Tracking Periods contained within that review period.

b. Progress Column

Shows the recorded progress for that period (for example, "0% out of 30% target achieved"). If no progress is added yet, the field remains empty.

c. Progress Sentiment Column

Shows the sentiment selected during the progress update (On Track, Off Track, Neutral). If no progress exists yet, this remains blank.

d. Comments Column

Shows the comment added along with the progress update.

e. Actions Column

Depending on the current state of that period, different action buttons appear:

  • Add Progress (+ icon): Appears when progress is being added for the first time in that tracking period.

  • Edit Progress (Pencil icon): Appears when progress already exists for that period and can be modified.

  • {Metric} Icon: Appears when metrics have been associated with the actionable item (initiative).  – Clicking it opens the Contribution Levels modal for that period, where contribution levels for each metric can be updated.

(Note: The {Metric} label is dynamic and depends on what was defined in the Strategic Framework, such as Outcome, KPI, etc.)

f. Add/Edit Progress Modal (Right Side Panel)

When the user clicks Add Progress or Edit Progress, a form opens on the right side of the actionable item modal containing:

  • Overall Actionable Item Status: Choose the current status (statuses come from the Strategic Framework).

  • Progress Update: Enter the progress value for that period in percentage (%) (Or any other defined progress measurement like $, etc) toward the overall target.

  • Progress Sentiment: Choose On Track / Off Track / Neutral.

  • Comments: Add relevant notes regarding the progress update.

  • Save Progress Button: Saves the progress entry for the selected period.

g. Metric Contribution Modal (Right Side Panel)

When the user clicks the {Metric} icon in the Actions column:

  • All base metrics associated with the actionable item appear.

  • The contribution level for each metric can be updated specifically for that progress tracking period.

  • Contribution levels may differ per period as the impact shifts over time.

  • Update Contribution button saves the attribution for that period.

h. Progress Breakdown (Left Accordion – View Only)

On the left side of the actionable item modal, the “Progress Breakdown” accordion displays:

  • By Review Period Target

  • By Review Period Progress Achieved

  • Progress Tracking Period breakdown

  • System assessment (Above Target, On Target, Below Target)

  • Team sentiment for each period

  • Comments and Updates in progress made by users

This section is only for viewing and cannot be edited.

3. How to perform this feature/functionality?

a. Log in to your VisionSync account using your credentials. b. From the left-side navigation bar, click on Plan. c. The Strategic Plan screen will open, listing all strategic plans in your organization. d. Click on the Build Plan option for the plan you want to work on. e. The Build Plan screen will open, showing organization entities, review period, and plan hierarchy. f. Select the organization entity and review period from the top dropdowns. g. Select the plan hierarchy element (Goal, Strategy, etc.) where your actionable item (initiative) exists. h. Click Edit on the actionable item (initiative) to open the new actionable item modal. i. Go to the Progress tab.

To Add Progress:

j. Locate the desired progress tracking period. k. Click Add Progress (+ icon) in the Actions column. l. In the right-side panel, fill in:  – Overall status  – Progress Update (%)  – Progress Sentiment  – Comments m. Click Save Progress.

To Edit Existing Progress:

n. Locate the period where progress already exists. o. Click the Edit Progress (pencil icon). p. Modify the details in the right-side panel. q. Click Save Progress.

To Update Metric Contribution Levels for a Period:

r. In the Actions column, click the {Metric} icon. s. In the modal that opens, adjust the contribution levels for each metric for that period. t. Click Update Contribution to save.

To View Overall Breakdown:

u. Open the Progress Breakdown accordion on the left to view yearly/monthly details, system assessment, and sentiment summaries.

4. Expected Result

Once progress is added or updated:

  • The corresponding progress tracking period displays updated values, sentiment, and comments.

  • The cumulative progress and overall periodic achievement will refresh automatically.

  • Metric contribution updates for that period will be applied immediately and reflected in progress analytics.

  • All relevant team members will see the updated progress in real time.

  • The breakdown section will reflect updated values accordingly.

5. Dependency & Restrictions

a. Only users with the necessary permissions can add or edit progress for actionable items (initiatives). b. Progress cannot be added or edited for progress tracking periods that have not started yet. c. Skipping a progress tracking period is not allowed; progress must be recorded sequentially. d. Metric updates per period are only available when base metrics have been associated via the Metric tab. e. Base metrics are defined once in the Metric tab, but contribution levels can differ for each progress period and must be updated through the Progress tab. f. Contribution levels from the previous period may cascade into the next, but can always be manually adjusted. g. The {Metric} label is dynamic and depends on what was defined in the Strategic Framework, such as Outcome, KPI, etc.
