Add/Update Task

1. About Feature

The Task tab inside the actionable item (initiative) modal allows users to create and manage execution-level tasks that support the completion of the initiative.

Tasks help track work, assign responsibility, monitor status, and ensure alignment with the timeline of the actionable item. All tasks created under an actionable item contribute to disciplined execution and accountability across the team.

2. Screen Explanation

The Task tab contains the following elements (note: the label Task is dynamic and may appear as Activity, Sub-Action, Tactic, etc. based on the Strategic Framework):

a. Task List Table

The table includes five columns:

  1. Task: Displays task titles created under the initiative.

  2. Assign To: Shows the user assigned to the task. Assignable users are only those who have accepted the invitation to this actionable item in the Users tab.

  3. Status: Shows the current status of the task. Status values are configured in the Strategic Framework, along with optional hint text.

  4. Due Date: The task’s end date.

    • The due date cannot exceed the end date of the actionable item (initiative).

  5. Action: Contains two icons:

    • Edit (Pencil): Opens the task in edit mode.

    • Delete (Bin): Removes the task from the initiative.

b. Public / Private Toggle (if applicable)

If configured, the tab may display Public and Private visibility options for tasks.

c. Add Task Button

Located at the top right of the tab. Clicking this button opens a right-side panel inside the actionable item modal for creating a new task.

3. Add / Update Panel (Right-Side Modal)

When adding or editing a task, a panel opens with the following fields:

a. Enter Task Name (Required)

Text field to enter the name/title of the task.

b. Assign User (Required)

A dropdown listing only those users who have accepted the invitation for this actionable item. A task cannot be assigned to a user who is not part of the initiative team.

c. Status (Required)

Dropdown showing the task status options configured in the Strategic Framework.

d. Due Date (Required)

A calendar field to select the task’s end date.

  • The due date must be equal to or earlier than the actionable item’s end date.

  • Start date is not required because the system only enforces due date ≤ initiative end date.

e. Save / Add Task Button

  • Displays Add Task while creating a new task.

  • Displays Save Task while editing an existing one.

4. How to Perform This Feature/Functionality?

a. Accessing the Task Tab

  1. Log in to your VisionSync account.

  2. From the left navigation bar, click Plan.

  3. Click Build Plan for the desired strategic plan.

  4. Select the organization entity and review period from the top dropdowns.

  5. Navigate through the hierarchy and open the actionable item (initiative) using Edit.

  6. Go to the Task tab (label name dynamic).

b. Add a New Task

  1. Click Add Task on the top right.

  2. A panel opens on the right side of the modal.

  3. Enter the task name.

  4. Select Assign User from the dropdown (only accepted users appear).

  5. Select the Task Status.

  6. Choose the Due Date (must not exceed initiative end date).

  7. Click Add Task to save.

c. Update an Existing Task

  1. In the Task tab, locate the task you want to modify.

  2. Click the Edit (Pencil) icon in the Action column.

  3. The right-side panel opens showing task details.

  4. Make necessary updates: name, assigned user, status, or due date.

  5. Click Save Task.

d. Delete a Task

  1. Click the Bin icon in the Action column.

  2. Confirm deletion.

  3. The task will be removed permanently from the initiative.

5. Expected Result

After adding or updating a task:

  • The task immediately appears in the task list table.

  • Assigned users see the task under the actionable item.

  • Status, due date, and ownership become visible to all relevant team members.

  • Any task modifications are updated in real time.

6. Dependencies & Restrictions

a. Only users with permission for their organization entity can add, edit, or delete tasks. b. A task can only be assigned to users who have accepted the invitation to the actionable item. c. The task due date cannot exceed the end date of the actionable item. d. The task label name is dynamic and depends on what was configured in the Strategic Framework.
