1. About feature

This feature allows users to edit elements of a strategic plan such as goals, strategy to cater changing needs of an organization. The revisions to strategic plan elements can be made in the same review period or in different review periods. The historical version is mained as you make revisions in different review periods.

2. Screen explanation

The “Edit Strategic Framework Level” form contains the following elements.

a. Edit Strategic Framework Level Content: On the overall strategic plan screen, you will see the “Edit” button for each strategic framework level.

  • For example - Let’s say a strategic framework has two levels - goal and strategy.

    • In Hierarchy View, you will see two Edit buttons - Edit Goals and Edit Strategy. Each button will allow the user to edit the element on that level of the strategic framework for the organization entity.

    • In Board View, hover over a Strategic Action Item card in any column (level) to reveal the pencil icon in the top-right corner. Click on it and select Edit to open an editing panel on the right, allowing users to update the item's details seamlessly.

    • In Table View, to edit a Strategic Action Item in a particular level, locate the pencil icon in the respective row and click on it. This will open an editing panel on the right, allowing users to update details efficiently.

When you click on the Edit buttons you will see a form to update the content of the strategic framework level.

The strategic framework level edit form has several fields as described below -

b. Strategic Framework Level Title (Required): This field requires the title of the strategic plan element (Goal, Strategy)

c. Description Field (Required): This field requires the description of the strategic plan element (Goal, Strategy)

d. Visibility (Required): This is to set the visibility of the strategic plan element (Goal, Strategy). Private means it will only be visible to you and the members with permissions to view private elements in the strategic plan. Public means that all users will be able to view that element.

e. Cascade (Required): This is to enable or disable the cascade. Enabling cascade means that the strategic plan element (Goal, Strategy) will be cascaded down to all the organization entities that are part of the hierarchy below it and assigned to a particular strategic plan. Once you have cascaded a strategic plan element, you can not un-cascade it.

f. Back Button: This button allows the user to go back to the previous page.

g. Save & Submit Button: This button allows users to save the content for the strategic plan element.

d. Click on the “Build Plan” option against the plan.

e. A new screen will open containing the strategic plan details like assigned organization entities, review period and strategic framework levels (goals, strategy, etc.)

f. Select the organization entity for which you want to build the plan and select the review period of the strategic plan. By default, your default organization entity and current year are selected.

h. To edit elements inside the strategic plan, click on “Edit” for Strategic Framework Level (goal, strategy) and update the name, and description and set its visibility, status, and cascade. Once you have cascaded a strategic plan element, you can not un-cascade it.

i. Each organization entity can edit its own strategic plan elements based on the strategic framework built by the administrator.

j. Click on “Save & Submit” to save the strategic plan element.

k. Similarly, edit the content for the other levels of the strategic plan as well.

4. Expected Result

After following the above steps, the elements will be updated in the strategic plan section.

5. Dependency or Restriction

a. Only users granted specific permissions for their organization entity can modify elements of the strategic plan, such as goals and strategies, pertaining exclusively to their respective organization entity.

b. The strategic framework, strategic framework settings, strategic plan, and its assignment are the must-haves to view or participate in a strategic plan.

c. Once you have cascaded a strategic plan element, you can not un-cascade it.

d. The historical version of the strategic plan elements will be kept per review period. For example - If there are three review periods for a strategic plan -

  • Jul 2023 - Jun 2024

  • Jul 2024 - Jun 2025

  • Jul 2025 - Jun 2026

If the strategic plan element is created in the Jul 2023 - Jun 2024 review period, then any edits made during this period will not store the historical data. It will just update the strategic plan element. However, if the updates were to be made to the same strategic plan element in the July 2024 - June 2025 review period, then it would store the historical data of July 2023 - June 2024 and apply changes to Jul 2024 - Jun 2025 and Jul 2025 - Jun 2026 review periods.
