Setup Organization and Administrator Profile
1. About feature
This feature allows users to set up the profile of the organization during the onboarding process. Users can also complete their administrator profile and invite additional administrator users.
2. Screen explanation
After account verification, the user will land on the “New Customer Account Setup” page.
The onboarding process has three steps.
A. New Customer Account Setup:
This section contains the following elements.
a. Business Name (Required)
This is a field that requires the name of the organization.
b. Logo (Required)
This is a file-type field. It requires the logo image of the organization. There are some limitations to the type and size of the logo. Users should follow the guidelines displayed on the screen.
c. Choose your Brand Color (Required)
This is a color selector. Users can select the primary color of the organization's brand.
d. At the bottom of the form, it has a “Terms and conditions” checkbox and the “Next” button. It is good practice to read the terms and conditions before completing the onboarding process.
B. Business/Customer Details:
The section contains the following elements.
a. Website Address (Required)
This field requires the website address of the organization. Please make sure to select the http:// or https:// and then enter the website URL for your organization.
b. Industry (Required)
This is a dropdown field. You can select the specific industry for your organization.
c. Number of employees (Required)
This is a dropdown field. You can select the number of employees in your organization.
d. Address (Required)
This field requires the address of the organization. Please make sure to enter the full address with street address, city, state, and zip code. As users start typing the system will auto-suggest you some options.
At the bottom of the form, there are buttons for going “Back” and “Next”.
Note: New customers can now get their own custom subdomain to use VisionSync.
C. Administer Profile:
This section contains the following elements.
a. First Name (Required)
This field requires the first name of the user/administrator.
b. Last Name (Required)
This field requires the last name of the user/administrator.
c. Job Title (Required)
This field requires the job title of the user/administrator.
d. Work Phone (Required)
This field requires the dialing code and work phone number of the user/administrator.
e. At the end, there is a short survey question “How did you hear about us”. Users should select one or more options from the available list.
At the bottom of the form, there are options for “Back” and “Save and Continue”.
4. Add Administrators (Optional):
Work Email: This field requires the work email address of another administrative user. Users can choose to skip this step and add other administrators from the tool later on.
3. How to perform this feature/functionality?
a. After the account verification, the user should log in to the VisionSync account using the credentials and start the onboarding process.
b. Users will be navigated to the “New Customer Account Setup” page.
c. Enter the Business (Organization) Name, upload the organization brand logo (must be less than 2 MB, and only certain file types are allowed), and choose the organization brand color.
d. Check the terms and conditions agreement check box and click the “Next” button.
e. You will then be navigated to the “Business/Customer Details” section.
f. Enter the website address of the organization, number of employees, industry, and address of the organization and click “Next” to proceed further.
g. Lastly, you will be required to complete the “Administrator Profile” section.
h. Fill in the details like first name, last name, job title, and work phone number, and click “Save and Continue”.
i. Adding additional administrators is optional at this step. Users can either add other administrators by entering their work email address and sending them an invite or skip this step.
4. Expected Result
a. The organization and administrator profile has been completed and saved.
b. Once onboarding is completed, the user will be redirected to the dashboard page.
c. The account should have the organization and administrator profile settings saved that have been set up by the user during onboarding.
d. If a user has chosen to invite the additional administrators, then an invite link is sent to all the work email addresses entered during the onboarding process.
e. After completing the onboarding process for the organization, the system will create two default roles -
Administrator - They have access to everything in the system.
Employee - They have view-only access to the system.
