Create Strategic Plan
1. About feature
Creating a new strategic plan is a crucial function for managing your organization's future direction. With this feature, you can create a new strategic plan for your organization, which will serve as a vision board for your organization's strategic goals and strategy. An organization can have multiple strategic plans in the VisionSync.
2. Screen explanation
The “Strategic Plan” form contains the following elements.
a. Strategic Plan Name (Required): This field requires the name of the strategic plan.
b. Select Framework (Required): This is a dropdown to select a strategic framework for the strategic plan. It contains the list of frameworks that have been created for the organization by the administrator.
c. Strategic Plan Timeframe (Required): This contains the start and end date fields. It specifies the timeframe of the strategic plan.
d. Description (Required): This field requires the description of the strategic plan.
e. Strategic Plan Review Period Frequency (Required): This field specifies how often the strategic plan will be reviewed. Available options are - annual, semi-annual, quarterly, and monthly. Example - Strategic plan timeframe could be 01/01/2023 to 12/31/2027 and strategic plan review period frequency could be set as annual. This will create 5 review periods from 01/01/2023 to 12/31/2027. Those periods will be -

This strategic plan review period frequency is required to maintain the historical data of the strategic plan. Example - For the plan above, if the data is created in 2023 review period and updated in 2024 then 2023 data remains intact as a historical record.
f. Progress Tracking Period (Required): This field specifies how often an organization wants users to track the progress of the strategic action item within its review period. Available options are - semi-annual, quarterly, monthly, and weekly. Example - Considering the above example, if an organization sets the progress tracking period to be quarterly then it will create 4 quarters per review period for the progress tracking.

This progress tracking period is required to maintain the consistent and accurate reporting of the progress on strategic action items (initiatives) of the strategic plan.
g. Year Cycle: This contains the start and end month fields. It specifies the starting and ending month of the organization's strategic plan yearly cycle. Example - It could be January - December or June to July. The important thing is the system validates to have at least 12 months in between the selected months.
h. Next Button: This button saves a new strategic plan and moves to the next step of assigning strategic plans to organization entities.
3. How to perform this feature/functionality?
a. Log in to your VisionSync account using your credentials.
b. From the left-side navigation bar, click on the Plan option.
c. The Strategic Plan screen will open, displaying a list of all the strategic plans created within your organization.
d. To add a new plan, click on the “Create New” button and a new window will appear on the right side of the screen.
e. Enter the name, strategic framework, description timeframe, and other details like review period frequency, progress tracking period, and year cycle in the Strategic Plan form.
f. The strategic plan will be saved and added to the Strategic Plan list.
4. Expected Result
After creating your new strategic plan, you will be directed to the next page of assigning the strategic plan to organization entities. Users have the option to click back and see the list of strategic plans where newly created strategic plans will be displayed.
5. Dependency or Restriction
a. The strategic plan add/edit option will only be visible to administrators and whosoever has permission to add/edit the strategic plan.
b. The strategic plan review period frequency and progress tracking periods are dependent on each other. The progress tracking period should be smaller than the strategic plan review period frequency. Example - If you picked an annual option for strategic plan review period frequency then progress tracking period options that could be selected will be - semi-annual, quarterly, monthly, and weekly. This is critical because of the reason to measure the progress within each review period.
