Add User
1. About feature
The "Add User" feature in VisionSync allows you to create a new user and grant them access to the organization’s account. Users can be added to any level in the organization structure with the already defined roles. This will allow users to have the permissions on the organization entities defined while creating a user.
2. Screen explanation
The “Add User” form contains the following elements
a. First Name (Required): This field requires the first name of the user.
b. Last Name (Required): This field requires the last name of the user.
c. Job Title (Required): This field requires the job title of the user in the organization.
d. Work Phone: This field requires the work phone number of the user along with the country code.
e. Work Email Address (Required): This field requires the work email address of the user provided by the organization.
f. Select Organization Entity (Required): This field allows administrators to associate users with any organization entity in their organization.
g. Select Role (Required): This field allows the administrator to select the role of the user in the selected organization entity. This role assignment will allow users to perform all or some functions in VisionSync as defined in the role.
h. Add Entity Button: This button allows administrators to associate users with more than one organization entity.
i. Add User Button: This button saves the user details in the VisionSync.
3. How to perform this feature/functionality?
a. Log in to your VisionSync account using your credentials.
b. Click on the User button from the left-side navigation bar.
c. You will be navigated to the All Users page.
d. Locate the "Add User" button at the top right of the User List screen and click on it.
e. On the "Add User" screen, enter the new user's first name, last name, job title, work phone number, and work email address in the appropriate fields.
f. Select an organization entity to which you would like to assign this user.
g. Choose a role against the organization entity for the new user from the dropdown menu. The available roles will depend on the roles created by the administrator for your organization.
g. Click on the "Add User" button at the bottom right of the form to create the new user account.
4. Expected Result
After following the above steps, users should be able to add a new user to your organization's VisionSync account using the "Add User" feature. The new user will receive an email invitation to complete their profile and create a password. Once they complete their profile, they can log in to their account.
5. Dependency or Restriction
a. Users can only create accounts from an organization email that is whitelisted by the administrators. Personal emails are restricted and are not allowed. Example - gmail.com, yahoo.com, reddifmail.com, outllook.com, etc.
b. The user should have at least one organization entity with the appropriate role assigned.
c. The users added to the top node in the organization structure with a role will automatically be added to all the child nodes with the same role. Example - If a user is added as an administrator at the parent level, that user will be the administrator for all the child nodes.
