Edit Statements

1. About feature

The "Edit Statement" feature in VisionSync allows users to edit a statement (example - mission, vision, value) to an organization's profile within their VisionSync account. Statements are important documents that outline an organization's purpose, values, and overall direction. Keeping these statements updated can help to ensure that the organization's goals and values are clear and easily accessible. The entities within the organization also have the capability to edit their own statements (example - mission, vision, value) that align with the organization's statement.

2. Screen explanation

The “Statement” window contains the following elements.

a. Effective Date field (Required): This field shows the date when statements will be effective. The effective date is important to maintain the historical data of the statements.

b. Mission Statement (Required): This field shows the mission statement of the organization entity.

c. Vision Statement: This field shows the vision statement of the organization entity.

d. Value Statement: This field shows the value statement of the organization entity.

e. Save & Create Button: This button allows the user to save the statements in the organization.

f. View Button: This button allows the user to see the preview of statements. This button is only visible when the organization entity has created the statements.

3. How to perform this feature/functionality?

a. Log into your VisionSync account using your registered email and password.

b. Click on the "Organization" button from the Top-Navigation Bar.

c. You will be navigated to the “Organization Details” page that lists the organization structure of your organization. If this is the first time you will see only one entity in your organization structure that is the name of the organization.

d. Click on the "Edit Statements" button against the organization entity to view the statements (example - mission, vision, value). It will open a pop-up window.

e.To edit statements, change the effective date and click “Edit” against the statement for which you want to make changes. If the effective date is kept the same as the old statement history will be updated too. However, if you change the statements and effective date, it will keep the historical record of the old statements and save the updated ones.

f. Click on the “Save & Create” button to save the statements.

4. Expected Result

Upon following the above steps, the user should be able to edit the existing statements (example - mission, vision, value) for the selected organization entity. The edited statements will be saved and can be viewed by selecting the “Edit Entity” or “Edit Statements” option from the dropdown menu of the organization. The saved statement will become the historical records given if the effective date is changed.

5. Dependency or Restriction

a. Statements for the organization entity can only be modified when the feature to add/edit statements at the organization entity level is turned on. However, everyone can view the statements for the parent organization.

b. The organization entity statement can be added by the users who have permission. However, all users should be able to view the statements.

c. The historical records for the statements per organization entity are maintained only on change of effective date. Example - On effective date 01/01/2023 if mission statement was “A”. If you edit it on 03/15/2025 to be “AB” but do not change the effective date then the same record will be updated. However, if you change the effective form to 04/01/2025 then the historical record of statements before 04/01/2025 will be maintained. In short, historical records are maintained only when the effective date is changed.
