Add Users in Strategic Action Item (Initiative)

1. About Feature

The “Add Users in Strategic Action Item (Initiative)” feature allows you to assign one or multiple users to an actionable item (initiative). It enables collaboration, accountability, ownership tracking, and transparent activity management within VisionSync. Users are added with specific roles defined in the Strategic Framework, ensuring clarity on responsibilities.

2. Screen Explanation

The Users tab in the actionable item (initiative) edit modal displays and manages all user assignments. It contains the following elements:

a. Add User Icon (Top Right of the Users Tab): Clicking this opens a side panel within the same actionable item modal, allowing users to be selected and added.

b. Select User Dropdown: Allows searching and selecting users from the organization. Each selected user appears just below the dropdown with an empty role selector.

c. Role Selector: For every added user, the assigning user must choose one or more roles. These roles are the ones configured in the Strategic Framework.

d. Send Invite(s) Button: Sends invitation emails to the selected users. If the logged-in user adds themselves, their invitation is auto-accepted instantly.

e. Team Members List: Once invites are sent, all team members appear in a table with the following columns:

  • Name

  • Role(s) (also showing invitation status: Accepted in green, Pending in yellow, Declined in red)

  • Invited By

  • Invitation Date

  • Accepted Date (blank for Pending/Declined)

  • Action Column containing:  • Delete (Bin Icon) → withdraws the invitation  • Resend Invite → appears only for Pending/Declined users

3. How to Perform this Feature/Functionality?

a. Log in to your VisionSync account using your credentials. b. From the left-side navigation bar, click Plan. c. The Strategic Plan screen will open, displaying all strategic plans in your organization. d. Click Build Plan against the plan you want to work on. e. A new screen will open with plan details such as assigned organization entities, review period, and Strategic Framework levels. f. Select the organization entity and review period from the top dropdowns. g. Navigate to the actionable item (initiative) you want to add users to and click Edit. h. Inside the edit modal, open the Users tab. i. Click the Add User icon at the top right of the tab. j. In the side panel that opens:  - Use the Select User dropdown to search and add users.  - Users appear as tags/cards below the dropdown.  - For each added user, choose their Role from the role selector. k. Click Send Invite(s). Invitations are sent immediately.  - If you added yourself, your invite is automatically accepted. l. Once invites are sent, the users appear in the Team Members List, displaying: name, role, invitation status, invited by, invitation date, accepted date, and action options. m. To filter users by invitation status (Accepted, Pending, Declined), use the filters on the top right of the Team Members section. n. To resend or withdraw an invitation:  - Use Resend Invite (only available for Pending/Declined)  - Use the Bin icon to withdraw an invitation o. To remove a user who has already accepted, switch to the Accepted filter and click the Remove (Bin) icon.

4. Expected Result

Once users are added and invited:

  • They receive notification emails.

  • Upon accepting, they become active team members for the actionable item (initiative).

  • You will be notified when users accept or decline the invitation. The Users tab will show real-time status for every user associated with the actionable item (initiative).

5. Dependency & Restrictions

a. Adding users to actionable items (initiatives) is available only to users with the appropriate permissions for that organization entity. b. A user is officially associated with the actionable item (initiative) only after they accept the invitation. c. Invitations for users who have not responded will continue sending reminder emails until accepted or declined. d. Users added by themselves do not require an invitation—they are automatically marked as Accepted.
