Edit Strategic Action item (Initiative)

1. About feature

This feature allows users to update the details of an existing strategic action item (actionable item). The edit experience uses the same updated modal layout introduced in the creation flow, with multiple tabs appearing depending on the configuration of Labels, Metrics, and Task-level names defined in the Strategic Framework. The modal may display 6, 7, or 8 tabs based on availability of labels and metrics for that strategic plan.

2. Screen Explanation

The Edit Strategic Action Item (Initiative) modal opens in the center of the screen and can contain up to eight tabs depending on configuration. This modal is divided into three structural sections:

  1. Left Vertical Panel (Snapshot + Navigation Helpers)

  2. Middle Panel (All Tabs & Editing Interface)

  3. Right Vertical Toolbar

Below is the full explanation:

Left Vertical Panel — Snapshot & Navigation Tools

This panel appears on the left side of the modal and contains:

  1. Tactic Snapshot / Progress Overview Shows the overall progress bar for the initiative.

  2. Plan Hierarchy View

    • Clicking the arrow expands the full hierarchical path (Goal → Strategy → Initiative).

    • Helps users understand where the initiative sits within the strategic plan.

  3. Strategic Action Item List Icon

    • A list icon at the top-right of this left panel opens a drawer.

    • The drawer contains all initiatives in the selected organization entity.

    • Selecting any initiative from the list instantly loads it inside the same modal without navigating away.

Middle Panel — All Editable Tabs

This panel contains the full functionality of editing an actionable item.

1. Strategic Action Item {Initiative}

The tab name is dynamic based on the Strategic Framework (Initiative, Action, Key Result, Activity, etc.).

Primary editable fields: a. Title b. Description c. Status d. Start Date / End Date e. Overall Target f. Review Period Target Estimates

  • Each period requires a whole number target

  • Total must equal the overall target

2. Labels (If configured)

Add or remove labels including inherited labels. Required groups must be filled.

3. {Dynamic Metric Name} (If metrics exist)

Metric associations and contribution assignment. Validation follows framework rules.

4. Users

Assign users with initiative-level roles.

5. Progress

Record review-period progress and sentiment.

6. {Dynamic Task Name}

Create or update tasks/sub-actions.

7. Comments

Rich collaboration panel with formatting, tags, reactions, and filters.

8. File Upload

Upload, view, download files based on permissions.

Right Vertical Toolbar

The rightmost vertical strip inside the modal contains four actionable icons that remain visible regardless of the selected tab:

  1. Move Icon

    • Opens the Move modal.

    • Allows moving the initiative to another hierarchy position within the same strategic framework (cannot move across different frameworks).

    • Review period remains the same.

  2. Copy Icon

    • Opens the Copy modal.

    • Allows copying the initiative to any eligible organization entity or hierarchy.

    • Users may choose what to copy: Users, Tasks, Comments, Documents.

    • Copy is allowed even to the same place.

  3. Watchlist Icon

    • Opens the Watchlist modal.

    • User can create a new watchlist or assign/unassign the initiative from existing watchlists.

    • This is identical to accessing watchlist from the kebab menu.

  4. Delete Icon

    • Deletes the strategic action item (initiative).

    • Confirmatory popup appears before proceeding.

These actions are always accessible, providing fast shortcuts without switching tabs.

Draft Behavior

If an initiative was saved in Draft during creation:

  • Only required tabs (Labels / Metrics) remain active

  • Other tabs are locked

  • Completing mandatory items automatically unlocks the modal and removes Draft state

3. How to Perform This Feature / Functionality

a. Log in to your VisionSync account. b. Click Plan from the left navigation bar. c. The Strategic Plan screen opens. d. Click Build Plan for any plan. e. The build screen loads with entity, review period, and hierarchy. f. Select entity and review period. g. Open any initiative using the Edit button. h. The modal opens. Make changes in any tab:

  • Strategic Action Item {Initiative} → main details

  • Labels → labels

  • Metrics → assignments & contributions

  • Users → assigned users

  • Progress → progress updates

  • Tasks → sub-actions

  • Comments → collaboration

  • File Upload → attachments

i. Click Save Actionable Item.

Additional In-Modal Navigation

j. Click the Strategic Action Item List icon (left panel) to instantly switch between initiatives. k. Click the Plan Hierarchy View arrow to expand the full hierarchy. l. Click the Progress Breakdown arrow in Overall progress section in Left Panel to get an overview of Progress made.

Quick Actions

l. Use the Move, Copy, Watchlist, Delete icons in the right vertical toolbar for shortcuts.

Deleting an Initiative

m. Either use the kebab menu or the Delete icon in the right toolbar.

4. Expected Result

After updating the actionable item (initiative), all changes will appear immediately in the strategic plan. Assigned team members will be notified based on their roles and actions performed.

5. Dependencies and Restrictions

a. Only users with permission for their organization entity can add or edit actionable items (initiatives). b. Changing the measurement option after progress has been recorded will remove existing progress. c. Changing start or end dates may keep or remove progress depending on whether periods fall inside or outside the new date range. d. Changing the overall target recalculates progress for the actionable item (initiative) and all parent plan elements. e. Start and end dates must remain within the strategic plan’s timeframe. f. An actionable item (initiative) is automatically marked as completed when it reaches 100 percent progress.
